How to Setup & Use Gmail: A Complete Guide
Gmail,
the free email service provided by Google, is among the most utilized
electronic mail services around the world. Boasting its minimalistic interface,
advanced functionalities, and integration with other Google services, Gmail is
a lot more than just e-mail. In this tutorial, I will guide you through the
basics from setting up your Gmail account to using some of its advanced
functionalities, either for first-time users of Gmail or those who want to be
able to use it more effectively.
Gmail
Account Creation
In
case you don't have an account with Gmail, then here are the steps:
1.
Gmail Website:
Open your browser and go to the website
called [gmail.com] (https://www.gmail.com)
2.
Click on 'Create Account':
You will be asked if this is for yourself or
to use with a business. Click accordingly.
3.
Fill in Your Information:

First name, last name, and desired email address. Gmail will suggest available
usernames if the one you come up with is already in use.
- Come up with a strong password and
confirm. Click Next.
4.
Verify Your Phone Number:
- Google would ask for your phone number for
security reasons. Enter your number, and Google will send you a verification
code via SMS.
Enter
code to verify your account.
5.
Complete Your Profile:
Most will want to add the optional recovery
email - an email in case you have lost access to your account - and fill in
your birthday and gender.
6.
Agree to the Terms of Service:
Read Google's Terms of Service and Privacy
Policy then click I agree.
Congratulations!
You now have a Gmail account.
Gmail
Interface
The
Gmail interface is clean and pretty easy to navigate when you're signed in.
Here's a quick tour through the key elements:
Inbox: This is where your incoming emails
will go. Gmail defaults to tabbed inbox views such as Primary, Social, and
Promotions.
Compose: Hitting the Compose button-typically
on the top left side-will pop open a window to start composing a new email.
-Sidebar
Menu: This menu is on
the left-hand side, containing folders of Sent, Drafts, Spam, and Trash. You
are also allowed to create new labels in order to organize your emails.
-Search
Bar: On top, you'll
see the search bar. You can use it to find any email with a particular sender,
subject, or keywords inside.
-Settings: Gmail settings are available at the
top right corner by just clicking on the gear icon.

How
to Send an Email:
1.
Click Compose:

A new window will pop up on the bottom right of your screen.
2.
Compose the Details:
- To: Enter the email address of the
recipient.
- Subject: An appropriate and short subject
line will describe the content of the email.
Body:
In the main window, you will write your email message. You can also format
text, add links, and even insert images using the toolbar at the bottom.
3.
Attachments:
* To attach a file, click on the paper
clip icon and select the file to attach.
4.
Send:
* Click the Send button to send your
email.
Receiving
Emails:

When someone sends you an email, it will appear in your Inbox under the Primary
tab (unless filtered to other tabs). Click on the email to open and read it.
Organizing
Your Emails
Gmail
offers several features to help you stay organized:
Labels:
-
Gmail uses labels (instead of traditional folders) to categorize emails. You
can assign multiple labels to an email, making it easier to organize.
Creation
of Label:
From the sidebar, click the More, scroll to
Create New Label, name, and click Create. Filters
Filters
are allowed to sort automatically incoming messages. For example, emails from
certain senders can be filtered to avoid delivering directly into a folder
instead of the inbox.
To
create filter: Gear icon > See all settings > Filters and Blocked
Addresses > Click Create a new filter.
Starred
and Important Messages:

You can star messages when you feel they hold great importance. This can be
done simply by clicking the star sign beside each and every email present in
your inbox. These messages show up in the Starred folder.

Some of your emails come through algorithms at Gmail based on your reading
habits and show up in the Important folder. Customizing Gmail Themes:
Different
Themes: Gmail does have the ability to change your look with different themes.
Click on the gear icon and select Themes to browse a new background and apply.
Signatures:
Insert
a personal or professional signature on the emails. Go to Settings >
General, scroll down to Signature, and create a signature that will appear
automatically at the end of your emails.
Vacation
Responder:
If
you are going to be away from email for a while, you can turn on automatic
Vacation Responder to let people know. Under Settings > General you will
find this option.
Mailing
with Other Apps
One
of the biggest advantages of using Gmail is that it is very easy to integrate
it with other tools and services provided by Google:
With
Google Calendar: You
can easily schedule meetings and events right from your inbox. Many times, if
an e-mail involves an event, then Gmail automatically suggests adding that
event to your calendar.
Google
Drive: When sending
emails, you may attach files directly from within Google Drive. This is useful
when you want to send large files.

Google Contacts: By
default, Gmail saves contact information in Google Contacts when you e-mail
someone new.
Gmail
has an application both for Android and iOS. Using Gmail on your phone, you
will have to:

Download the App:
* In Android, generally, Gmail is
already installed. For iOS, download it from the App Store.

Sign In:
