Set Up Microsoft Outlook: Step by Step Guide
Outlook by
Microsoft is the most used email client for personal and professional purposes.
Though it is easy to set up your email with Outlook, it does call for some
specific details for smooth setup. Here in this tutorial, we are going to show
you how to set up your email in Outlook, either with Office 365, Outlook 2019,
or Outlook 2016.
The first step
to configuring Outlook is opening the program and beginning adding your email
account.
Open
Microsoft Outlook.
2. Since it is
the first-time opening Outlook, you are prompted to add an account. If not, go
to File > Add Account.
3. In this
pop-up window, enter your email address.
Outlook will
automatically try to detect your settings. For most popular e-mail providers,
such as Gmail, Outlook.com, and Yahoo, this configuration is usually automatic,
but if it doesn't detect your settings, you will have to enter them manually.
Choose Your
Account Type-IMAP or POP
Outlook
supports two major email protocols, including IMAP and POP3. The choice between
these two will be based on how you want to manage your emails.
IMAP: This keeps the emails on the server
and then synchronizes them across all your devices. It is best if you access
your email on multiple devices.
POP3: This does the opposite-actually
downloading to a device and removing it from a server while keeping it locally.
It's ideal if you use only one device to check your email.
After typing in your email address and clicking Connect, select either IMAP or POP according to your needs.
Fill in
Incoming and Outgoing Mail Server Settings
If Outlook is
unable to automatically detect your email settings, you will need to manually
enter the mail server settings. You can find the details on your email
provider's website or contact their support for the same.
General
IMAP/POP Settings:
The following
is what you will be required to fill in regarding IMAP/POP3:
IMAP (for
incoming mail):
IMAP server: “imap.emailprovider.com”
- Port: 993, often, it requires SSL.
POP3
Settings (for Incoming Email):
- POP3 Server: pop.emailprovider.com
- Port: 995, often, it requires SSL.
SMTP Settings: for outgoing email
- SMTP Server: smtp.emailprovider.com
- Port: 587, often, it requires SSL/TLS.
- Username: Full email address
- Password: Email password
Advanced
Settings Configuration
If you are
setting up email manually, you will also want to set up some advanced options:
1. Once you
have filled in the basic information, click More Settings.
2. Click the
Outgoing Server tab and check the box to set "My outgoing server (SMTP)
requires authentication."
3. Click the
Advanced tab and make sure the following are accurate:
- The incoming server is Port 993 and
selects SSL as the encryption method.
- Outgoing server: Use port 587 and choose
TLS as the encryption method.
4. Click OK
and back.
Complete
Setup
Now, you need
to click Next after filling in all the details. At this stage, Outlook will try
to test your connection. You should receive confirmation that your email
account is ready if everything has been set correctly.
1. Click
Finish to close setup.
2.
Congratulations! You are now all set to send and receive emails with Microsoft
Outlook!
Common Issues
and Their Fixes
Sometimes, you
may face problems while setting up Outlook. Here is a look at some of the
common problems and their fixes:
Password
Incorrect: Check that
your password is correct. If you've changed it lately, make sure you are using
the new one.
Server
Timeout: If your
connection to the server is slow, increase the server timeout settings in the
Advanced tab.
Firewall
Blocking: A firewall
or antivirus program installed may be blocking Outlook from connecting to the
email server. Temporarily disable the firewall just for verification of whether
this is the problem.
Wrong Server Settings: Check whether the settings regarding incoming and outgoing mail servers are correct.
Working
with Multiple Email Accounts in Outlook
Another benefit
with Microsoft Outlook is that you can handle multiple email accounts. To add
another account if you need to:
1. Go to File
> Add Account and follow the steps above
2. In Outlook you will be able to control multiple accounts by selecting which account you want to use on the left-hand navigation pane.
Setting up
Outlook is not that hard, given the correct information; it's a step-by-step
guide to be sure an e-mail setting is appropriate and ready for usage. With
solid tools at your disposal and room for more customization, Outlook is an
ideal choice to manage efficiently.
